Job Description

  • Ideal candidates will have 10+ years of project-based administrative support experience in a busy office environment.
  • Clerical review of documents prior to deliverables (formatting, proofreading, content review)
  • Document production per company procedures (letters, reports, proposals, transmittals, specifications, and other documentation requested by staff)
  • Assist in submittals, RFI, change orders, drawing updates, payment application processing and distribution to multiple parties and continued follow-up of completion.
  • Assist in compilation of all required record documents (Submittals, O & M’s, Warranties and Training requirements) for ongoing project use and closeout procedures.
  • Assist in distribution of contract documentation and the updating of Design/Build Changes to internal and external parties.
  • Schedule meetings and manage conference room reservations
  • Coordination of meeting support and set-up,
  • Coordination and preparation of incoming and outgoing shipments/packages and correspondence,
  • Developing reports and memoranda
  • Assisting with briefing development;
  • Ensuring appropriate progress of tasks;
  • Track supply inventory and order supplies as required; coordinate office activities to include office equipment maintenance;
  • Strong communication, writing and computer skills are essential.

Office Engineer

Job Title: Office Engineer
Job Type: Full-time
Education: Bachelor's Degree: Engineering, Construction Management, or Architecture.
License: PE, AIA, or CCM is highly desirable.

  1. Typical Job Requirements:
    1. Assists the PM and project team in the monitoring and execution of construction contract administrative and technical requirements. 
  2. Prepares construction contract correspondence; document and plan control functions; the project information management system; and prepares management information reports on the status of each.
  3. Manage the Request for Information (RFI) process.  Receive, record, review for completeness and technical conformity, transmit, follow-up and track RFI’s.  Maintain RFI logs in the project information system.  Advise the Package Manager of issues. Prepare and distribute reports on the status of RFIs
  4. Manage the submittal, design bulletin, and plan revision process.  Receive, record, review for completeness and technical conformity, transmit and track through resolution of the task.  Advise the Package Manager of issues. Prepare and distribute reports on the status of submittals
  5. Attend and document project meetings and prepare minutes.
  6. Assist the update and maintenance of submittals, RFIs, drawings, specifications and logs to reflect current project scope.
  7. Perform expediting functions on technical, procedural, and construction issues.  Prepare and maintain expediting log.
  8. Assist in project schedule status reporting.  Evaluate contractor progress. Document and report quantities in place and validate against original estimate / schedule quantities.
  9. Compile, record, transmit for reviews, monitors review process, and tracks contract close out documents.
